1. Clean out each desk drawer, to free up valuable storage space. 2. Clear off the top of your desk, then wipe off the surface of the desktop. 3. Keep essential items on your desktop (computer, phone, contact file). 4. If you work with more than one person, create an Inbox for each person and create a separate drawer for personal paperwork, items, etc. 5. Have a master to-do list for each day at your desk. 6. Pre-sort the mail: To-File, To-Read, To-Contact (write or call), to bin. 7. Use a variety of desktop organisers or trays to organise papers that come across your desk and to organize office supplies, paper clips and pens. 8. Use storage systems to store dated files and purchase magazine boxes to store booklets, magazines, catalogues you want to keep. Create a file for magazine articles or scan them into your computer. 9. Filing system should be simple easy and manageable. Colour-coding your files makes it faster to find information. 10. Do not over stuff folders or overload filing drawers as it makes it difficult to retrieve information and vet contents. Sub-divide larger files with interior file folders and tab hanging file folders in the front. 11. Empty workspace of everything but the project you're working on to cut down on distractions. At the end of each project or event, organize paperwork and file or store it. 12. Straighten desk at the end of the day and especially at the end of the week so that you can start each morning with a clear desk. 13. At least once a week, glance at the items on your desk and question, "Is it supplies, reference materials, decoration, or equipment?" If you answered"no," get it off your desk before continuing your work! Do's and Don'ts: Do: Label folders clearly so you can retrieve information quickly. Clearout the old to make room for the new regularly. Use an archive for must keep but never use material. Date all paperwork and actions taken. Get a system so this never needs a total overhaul again and allow 10 minutes per day to rid your desk of clutter. Don't: Put it off, the problem only gets worse. Time put in now is returned ten fold by improved efficiency Have a one off clear out then revert back to previous habits - stick with the plan. Overload your storage space - archive material or dump. Do not permit any other items to be put on your desk until you are ready for them. This means that all projects must have a place in a file or drawer and ought to be in that place.
